Trainual AI Guide: Training, Operations & Performance

here's a difference between AI that writes and AI that writes something you can use. The first starts from a blank prompt, knows nothing about your company, and hands you a generic draft you have to rebuild before it sounds like your team. The second already knows your roles, your tools, and your processes, and works like someone who's been there for years.

Trainual AI is the second kind. It's an operations assistant grounded in your company's own processes, people, roles, goals, and tools. Instead of starting from nothing, it answers questions and builds documentation from what's already true about how your team runs, so the output reads like it came from a teammate, because in effect it did.

That grounding is the whole story. Everything below (writing, editing, answering, tracking, reviewing, connecting your own agents) is one capability wearing different hats: AI that works from your operational context instead of a blank page. It runs across all three parts of Trainual: Training, where it builds and maintains documentation; Operations, where it keeps meetings, goals, and follow-through on track; and Performance, where it turns a year of real work into reviews. And it isn't limited to the Trainual app. Your team can chat with it from any page, ask it questions in Slack, and connect Claude to the same context.

This guide is the one place to see everything Trainual AI does and how to use it.

What makes Trainual AI different from generic AI tools?

Generic AI is fast at producing drafts you have to fix. Trainual AI is built on the context that makes fixing unnecessary. The difference shows up in every output:

Generic AI
Trainual AI with internal context
Starting point
Starts from a blank prompt with no knowledge of your company.
Starting point
Starts from your existing training content, roles, and processes.
Terminology
Uses generic phrasing you have to rewrite in your own voice.
Terminology
Matches the terminology and voice already documented in your account.
Your team
Has no idea who’s on your team or who reports to whom.
Your team
Pulls real people, roles, and reporting structure into the draft.
Your tools and goals
Leaves out the software, goals, and scorecards your team runs on.
Your tools and goals
References the tools, goals, and scorecards already in your account.
The result
A generic draft that needs heavy edits before it’s usable.
The result
A draft that reads like a teammate wrote it, usable from the start.

The context Trainual AI draws on is the same context your team searches when they need an answer: your training content, your people and how they report, the software each team uses, and the goals, scorecards, and meetings you run in Operations. That's what collapses the generic-template tax that made AI content feel like a wash for a lot of teams.

Here's what that looks like in practice. Ask a context-blind tool to write "how we onboard new sales reps" and you get a generic template: accurate enough, useful to almost no one. Ask Trainual AI, and it builds the same doc from your real sales training content (so it complements what's there instead of duplicating it), the real people and reporting lines on your sales team, the tools those reps use daily, the goals they're driving toward, the scorecards tracking them, and the meetings they'll sit in each week. The result reads like a teammate wrote it, because, in effect, one did.

How do the Trainual AI assistant and AI search work?

The AI assistant is the front door to everything in this guide. It gives everyone one trusted place to ask, so the first move on any question is to ask Trainual, not to interrupt a colleague. It understands natural language, answers from your documentation on web and in the iOS and Android apps, and backs its answers with the sources it pulled from, so people can trust what they get.

That covers more than static docs. Your team can ask about decisions, metrics, updates, and people, and get an answer built from what's current in your account. People profiles are queryable too: ask what someone does, how to work with them, their expertise, or where your work overlaps. The payoff compounds. You repeat yourself less, and your team gets more self-sufficient by the week.

Chat with the assistant from any page

The assistant lives in a chat panel that opens on top of whatever you're doing. Click the ✨ icon in the top navigation, or press ⌘ + K on a Mac (Ctrl + K on a PC). The panel stays open while you move between pages, so you can check a source without losing your place.

  • Follow up instead of starting over. The assistant keeps track of the conversation, so you can narrow things down ("what about for our Phoenix location?"). When it needs more detail, it asks a clarifying question instead of guessing.
  • Attach files for context. Click the + button to add up to 10 files per conversation, including PDFs, Word documents, PowerPoint decks, spreadsheets, text files, and images, up to 25MB each. The assistant uses them to answer questions and to create or edit content.
  • Pick up past conversations. Click the clock icon to open your chat history and jump back into any thread. Your questions aren't visible to anyone else in your account.
  • Take it on the road. In the mobile app, tap ✨ in the bottom navigation, so field and frontline teams can ask from a job site or the sales floor.

"We use Trainual agency-wide as our single source of truth. It powers everything from onboarding and SOPs to ongoing learning and development, so our team always knows how we operate and where to find answers." Bri Braught, COO, Lokal Media House, verified review

How does Trainual AI work in Training?

In Training, Trainual AI builds your documentation, keeps it accurate, and tells you what's missing. Look for Build with AI under the Create > Document menu, or click Build for me.

Create documentation from anything

Start with a few bullet points and Trainual AI turns them into fully structured documentation with headers, substeps, and formatting. Migrating off old files? Import Google Docs or Word documents, or attach files to an assistant conversation, and it breaks them into bite-sized, training-ready steps, so years of existing material become structured onboarding without the manual rebuild. It can also move meeting notes and decisions straight into official processes and policies. You can generate a doc and its quiz from a single prompt, ready to assign the same day. What used to take a week of writing takes one prompt. That's how High 5 Plumbing cut training from seven hours to 90 minutes.

Edit with you in control

Open any existing page, tell the assistant what you want, and it proposes changes inline, highlighted right in the document, before anything is saved. You accept what you want and reject what you don't. Nothing changes until you approve it. It's the difference between an editor who marks up a document for your review and one who rewrites it behind your back. That matters, because documentation is only useful when people trust it, and trust erodes the moment a tool silently rewrites a process someone relies on.

Content editing isn't one button. It's a set of moves you make in plain language:

What you ask forWhat it doesBest for
Update contentDescribe what changed and the AI proposes inline edits.Keeping docs current when something changes
Improve readabilityRewrites dense sections into something easier to digest.Long pages people skim instead of read
ProofreadA quick pass on grammar, clarity, and tone.A final polish before publishing
Rewrite for an audienceReframes a page for a specific reader.Onboarding content that has to land for newcomers
Standardize voiceAligns terminology and tone to match your other docs.Pages written by different people at different times
Expand a sectionAdds new sections or fleshes out what’s already there.Thin docs that need more depth

Because the assistant can pull from elsewhere in your account, you can tell it to edit a page so it matches the voice or policies you've already documented somewhere else, instead of re-explaining your standards every time.

Make training stick and stay current

Trainual AI generates quizzes and multiple-choice questions from any page, so you can confirm understanding and see where retention is strong and where it isn't. It translates training into multiple languages for distributed teams. It sends verification reminders so owners confirm pages are still accurate as roles change, and find and replace lists every page a term appears on when you rename a tool or retire a process.

Spot what to document next

Trainual AI notices what your team keeps talking about. It catches hot topics and repeated questions across meetings and updates, flags patterns like recurring content feedback or a quiz nobody can pass, and tells you what needs to be documented before anyone has to ask. For a deeper playbook, see How to Get Better SOPs From AI.

Build your role chart

Trainual AI turns "who owns what" from a guessing game into something you can see. Enter a few roles and it suggests responsibilities, expectations, and structure. It connects each role to the tools, resources, and processes people need to do the job, and it generates a role chart that shows how work, ownership, and reporting lines fit together. Then anyone can ask Trainual about anyone, from what they own to how to work with them. Explore roles & responsibilities.

For the full picture of the training pillar, read How Work Is Done.

How does Trainual AI work in Operations?

In Operations, Trainual AI keeps a pulse on the work your team is running. As your team logs decisions, updates, and metrics, the assistant reflects the current state, so you're working from where things stand now, not last month's snapshot. Here's where it shows up.

AI notetaker for meetings

The meetings AI notetaker captures searchable transcripts, action items, and summaries, so every blocker, decision, and topic is on the record. Meetings from Google Calendar and Microsoft Outlook Calendar flow into Trainual, where prep, context, and follow-through stay connected. Later, anyone can ask the assistant what was decided and who owns the next step.

Meeting prep and recommended agendas

Before a 1-on-1 or team sync, the assistant drafts a recommended agenda from open decisions, updates, and next steps, so you walk in knowing what matters. For the habits that make prep stick, see What High-Performing Teams Do 24 Hours Before a Meeting.

Team updates that surface blockers

Recurring async team updates capture blockers, wins, and submissions on your cadence, and AI surfaces patterns and blockers across them before they become problems.

Goals and scorecards that flag drift

Goals come with at-risk detection, and the assistant flags goals that are drifting off track. Ask where things stand and you get the real status: which scorecards, updates, and action items are on track, which are behind, which are overdue, and who owns each one. It catches overdue training and open action items before they turn into bigger problems. If your goals still live in a spreadsheet nobody opens, start with goals and scorecards and meeting management.

"Pre-Trainual, if someone had a question, they'd have to engage a supervisor. And that supervisor might already be busy helping someone else. Trainual reduces internal noise and it gives our team confidence while they're on the phone. It's just right there in front of us." Aaron, President, Ambs Call Center

For the operations pillar in full, read How Work Is Run.

How does Trainual AI work in Performance?

In Performance, Trainual AI replaces reviews pieced together from memory with reviews built on a year of real work, feedback, and goals.

Review cycles that draft themselves

Review cycles draft themselves over the whole cycle, so the first version is ready in minutes. They combine self and manager assessments into one review, surface where a manager and a report see progress differently before the conversation instead of during it, and roll every cycle into a permanent review packet on each person's profile.

Review prep and early warnings

The assistant pulls review prep together from a year of work, feedback and praise, and goals. It flags overdue reviews, missing feedback, and stalled growth areas before they slip through the cracks, and it answers questions about how someone is tracking without you digging through the system.

Growth areas tied to real training

Every person gets defined growth areas linked to the exact training that closes the gap, and those growth areas carry forward from cycle to cycle instead of resetting each review. Paired with Training and Operations, reviews pull in real goal progress, KPIs, and training completion.

Performance data stays protected. Only dedicated Performance Admins have full visibility into reviews, feedback, and growth areas. Other managers can launch review cycles without broad access to everyone's results. For the performance pillar in full, read How Work Is Won.

Can you use Trainual AI inside Slack?

Yes. The Trainual Slack integration puts the same AI assistant inside Slack, so your team gets answers where they're already asking questions, with the same permission rules as the app.

  • Ask with /trainual ask. Type it in any channel or DM followed by your question, like /trainual ask What's our refund policy?, and get an answer sourced from your Trainual content. Click Open to see the source, or Open conversation to keep chatting inside Trainual.
  • Find a page with /trainual search. Use Send to drop the right doc into a thread for a teammate, or View to open it.
  • Turn threads into documentation. When someone explains a process well in Slack, use the Trainual message shortcut to turn that message into a new subject, document, or page, with the text pulled in automatically.

Setup takes two steps: an Admin clicks Add to Slack from Integrations in Trainual, then each teammate opens the Trainual app in Slack and clicks Connect Trainual. For the habit side of this, see How to Stop Being Your Team's Help Desk.

How do you connect Trainual AI to Claude and other AI tools?

Trainual's Model Context Protocol (MCP) server lets you connect Claude, other MCP-compatible tools like Cursor and Windsurf, and your own AI agents to the same trusted context your team uses, so their answers are grounded in how your company operates, not in guesses. Once connected, your AI tools can:

  • Use trusted company knowledge to power better outputs
  • Automate workflows with the right operational context
  • Support decisions with the processes, policies, roles, and momentum already captured in Trainual
  • Guide next steps based on how your team works

This is where Trainual stops being a destination and becomes infrastructure: the operational context layer other tools build on. Learn more about Trainual AI and the MCP server.

How to connect Trainual to Claude

Trainual is a built-in connector in Claude, so there's no setup file or token to manage. Open connectors in Claude, search for Trainual, and click Connect. If Claude asks you to, sign in with your Trainual account, and Claude can start using your Trainual context in the same conversation.

Step 1
Open
Open connectors in Claude
Go to the connectors area in Claude, where you add and manage the apps Claude can use.
Step 2
Search
Search for Trainual
Type “Trainual” and select the Trainual connector.
Step 3
Connect
Connect and start asking
Click Connect, sign in to Trainual if prompted, and ask Claude a question about how your team works.

Once connected, Claude can search your training content; look up people, job titles, groups, and your org structure; see responsibilities; check training assignments and completion status; find your software and tools; and search profile documents like certifications and licenses. It can also pull Operations and Performance context, including meetings and action items, goals, scorecards, team updates, and feedback.

A few guardrails come built in. Every Trainual MCP tool is read-only, so Claude can read your Trainual data but can't create, edit, or delete anything in Trainual. Claude also sees only what you can see in Trainual, because the connection follows your own permissions and content access.

Try prompts like these once Claude is connected:

  • "Using our Trainual onboarding process, draft a welcome email for the account manager starting Monday."
  • "Which people on the field team haven't finished safety training, and who are their managers?"
  • "Here's a customer email. Draft a reply that follows our documented refund policy."

Using a different AI tool? Cursor, Windsurf, custom AI agents, and any client you configure by hand connect with an MCP token instead. An Admin creates one under My settings > MCP authentication tokens, chooses what it can read, and adds Trainual as a remote MCP server:

{
 "mcpServers": {
   "trainual": {
     "url": "https://mcp.trainual.com",
     "headers": {
       "Authorization": "Bearer <your-mcp-token>"
     }
   }
 }
}

Tokens inherit the creator's permissions, expire after 365 days, and can be revoked at any time. The Trainual MCP server help doc has the full walkthrough.

Can Trainual AI pull in knowledge from your other tools?

Yes. Connectors let Trainual AI find documentation in the scattered tools your knowledge already lives in (Google Drive, OneDrive, SharePoint, Notion, Confluence, and Dropbox), then bring what matters in, so Trainual becomes the single, trusted source of truth instead of one more silo. Admins enable connectors under Account > Settings > Trainual AI, each person connects their own accounts under My settings > Integrations & AI, and the assistant only pulls files that person can already access. See all integrations.

Is Trainual AI secure?

Trainual AI follows the access rules you already have in place. Answers are based on each person's permission level, content access, and directory settings, so the assistant won't reveal information to someone who couldn't normally see it. That holds in the app, on mobile, in Slack, and in Claude. In Performance, full visibility into reviews and feedback is limited to dedicated Performance Admins.

According to Trainual's help center, the assistant uses OpenAI's paid API to generate responses. Content you submit isn't stored or logged beyond 30 days and is never used to train OpenAI's models. Admins can turn AI features off company-wide under Account > Settings > General. Connections to Claude and other AI tools are read-only.

Trusted by 8,000+ teams

More than 8,000 teams run Trainual to power productivity and learning, and rate it a leader on the strength of its support, implementation speed, and KPI tracking.

"Ever since we brought Trainual on board, our organization has been buzzing like never before! We're smack in the middle of this exhilarating shift from the old-school agency model to a lean, mean, 'less agency, more SaaS' machine. Trainual is the turbo-charged engine driving us forward." Siobhan Park, Head of Marketing, Repli

"From day one, they hear it from our own mouths: the journey, the mission, what we're trying to achieve. With Trainual, we're building something that will last forever, a machine that still feels human." Jade, Owner, Choklits Child Care Center

What it costs to leave this to chance

When documentation falls to the bottom of the list, the damage is quiet at first. Ownership gets fuzzy. Onboarding slows. Small gaps turn into expensive mistakes, and the knowledge that should live in a system stays stuck in a few people's heads instead. In Trainual's operations survey, 24% of respondents said they still rely on memory to keep track of accountability.

That's the failure mode Trainual AI is built to prevent. Faster ramp for new hires. Accountability built into how work gets tracked. Less turnover driven by people who never got clarity on how the work is supposed to get done. When the tool that writes your processes can also see your processes, your role chart, and your live operations, your documentation stops living in a silo and starts fitting the system you've already built.

If you're starting from a pile of undocumented know-how, the move isn't to write everything at once. It's to turn what's in people's heads into systems the AI can help you maintain. Frequently asked questions

What is Trainual AI?

Trainual AI is an operations assistant grounded in your company's own processes, people, roles, goals, and tools. It works across Training, Operations, and Performance to write and edit documentation, answer questions, keep meetings and goals on track, and draft reviews, all from your real context instead of a blank prompt. It also works in Slack and connects to Claude.

How does Trainual AI know how my company works?

While it drafts, edits, or answers, Trainual AI pulls from what's already in your account: existing training content, your people and reporting structure, the tools your teams use, and the goals, scorecards, and meetings you run in Operations. That context is what makes the output read like a teammate wrote it.

Does the AI change my content automatically?

No. Every edit is proposed for your review and highlighted in the page. You accept or reject each one, and nothing is saved until you approve it, so your single source of truth never changes without your sign-off.

Can Trainual AI answer my team's questions?

Yes. It understands natural language and answers from your documentation on web and mobile, with the sources it used to back each answer. Your team can ask about processes, decisions, metrics, updates, and even people, so the first stop for any question is Trainual, not a busy colleague.

How do I open the Trainual AI assistant?

Click the sparkle icon in the top navigation or press Command + K on a Mac (Ctrl + K on a PC). A chat panel opens beside your work, so you can ask questions, follow up, and check sources without leaving the page. In the mobile app, tap the sparkle icon in the bottom navigation.

Can I upload files to the Trainual AI assistant?

Yes. Click the + button in a conversation to attach up to 10 files, including PDFs, Word documents, PowerPoint decks, spreadsheets, text files, and images, up to 25MB each. The assistant uses them as context for answers and for creating or editing content.

Can I use Trainual AI in Slack?

Yes. After an Admin connects Slack and each person links their account, anyone can type /trainual ask followed by a question in a channel or DM to get a sourced answer. You can also use /trainual search to find content and turn Slack messages into new Trainual documentation.

What is Trainual's MCP server?

Trainual's Model Context Protocol (MCP) server lets you connect Claude, other MCP-compatible tools, and your own AI agents to Trainual's trusted context, so they can power outputs, automate workflows, support decisions, and guide next steps grounded in how your company operates.

Does Trainual integrate with Claude?

Yes. Trainual is a built-in connector in Claude. Open connectors in Claude, search for Trainual, and click Connect, signing in to Trainual if prompted. Claude can then look up your training content, people, roles, assignments, tools, and operations context while it works. The connection is read-only, so Claude can't create, edit, or delete anything in Trainual.

Does Trainual use AI for meetings, goals, and updates?

Yes. A built-in AI assistant answers questions about progress, priorities, blockers, ownership, and team performance using your operational and training data. It also captures meeting transcripts, action items, and summaries with an AI notetaker, drafts meeting agendas from open decisions and next steps, surfaces blockers across team updates, and flags goals drifting off track.

Does Trainual have an AI notetaker?

Yes. In Operations, the AI notetaker captures searchable meeting transcripts, action items, and summaries. Those notes stay connected to agendas, goals, and follow-through, and anyone can ask the assistant what was decided and who owns the next step.

Does Trainual use AI for performance reviews?

Yes. Review cycles draft themselves from a year of real work, feedback, and goals, so the first version is ready in minutes. The assistant also pulls review prep together, flags overdue reviews, missing feedback, and stalled growth areas, and answers questions about how someone is tracking.

Does Trainual AI use my data to train AI models?

No. According to Trainual's help center, the assistant uses OpenAI's paid API, and the content you submit isn't stored or logged beyond 30 days or used to train OpenAI's models. Answers also follow each person's existing permissions and content access.

Can Trainual AI create a quiz with a document?

Yes. You can generate a structured document and a quiz to reinforce it from a single prompt, ready to assign the same day.

What's the difference between creating content with AI and editing it?

Creating turns rough notes, a short prompt, or an imported file into a structured new document. Editing works on a page that already exists, updating it, improving readability, proofreading, expanding sections, or standardizing voice, with proposed changes you review before they're saved.

What else can Trainual AI do?

Beyond writing and answering, Trainual AI translates training into multiple languages, generates quizzes and knowledge checks, sends verification reminders so pages stay accurate, flags what to document next, takes meeting notes, recommends meeting agendas, flags at-risk goals, drafts performance reviews, builds your role chart, and connects scattered knowledge from other tools through connectors.
