As a business owner navigating through today’s fast-paced and exponentially evolving business world, it can be tough to balance your operations with the desire to grow. However, it's not an impossible goal. The key to achieving scalability is to continually optimize and streamline your operations — and to start, you need to document and refine the processes and policies that run your business.

What does it mean to streamline my operations?

“Streamlining” is the act of updating processes to make them simpler, more efficient, and effective. For example, you could streamline your accounting functions by getting software that assists with payroll and bookkeeping, etc.

Streamlining your operations means taking all your daily operational processes and improving and refining them, combining operations where you can, and automating processes when possible. Basically, finding the best way to do the things you’re doing in a quicker and more efficient way.

This also includes documenting your processes and training your employees with consistent, tangible training material. Doing so will set up your employees for success by giving everyone access to all the information they need.

This will shorten their learning curve and limit mistakes, allowing your operations to run more smoothly!

The reason optimizing and streamlining your operations is so important is that it enhances your organization’s efficiency, resulting in things like reduced costs, higher revenue, and better client outcomes.

Where do I start with streamlining my operations?

Streamlining your operations starts with you taking a look at all of your processes and getting them documented into a training manual and implemented company-wide.

We also highly recommend working with a Process and Training Consultant who can help you build out an effective training manual.

What is a training manual?

A training manual is a documented set of instructions that a company uses for training and onboarding employees, with the goal of improving the performance of its processes and performed tasks.

The instructions within a training manual are called Standard Operating Procedures, or SOPs. SOPs lay out instructions for how to complete a certain task. They should be comprehensive and include everything someone needs to successfully complete that task.

Why are training manuals important?

Training manuals provide a foundation so that departments can evolve and develop more processes without worrying about losing efficiency.

Training manuals also foster consistency across an organization. The training manual allows everyone to have access to the same educational and company information. It acts as a guideline for training and onboarding, so no details get left out and people experience a fair and quality onboarding experience that sets them up for success.

If you’re a business owner, training manuals are especially important for you if you want to scale your business. This is because having a training manual equals more efficiency, resulting in more time for you to get out of the weeds in your business operations.

When you’re out of the weeds, you can focus on growth and other priorities for positioning your company to scale and thrive!

How do I create a training manual?

The first thing you should do is take inventory of all your processes and identify the SOPs that are the have the highest frequency and impact for your business and prioritize those first. Then, using your prioritized list, lay out all of your SOPs in one place for everyone to access as needed.

Hence, you have your training manual! Using an interactive tool like Trainual is going to give your workforce a better experience than using something like Microsoft Word or Google Docs for your processes, because you’ll be able to monitor each individual’s progress and be able to verify their understanding through quizzes.

How do I prioritize my SOPs?

Prioritizing your SOP processes within your own company should be based on two factors: frequency and impact.

First of all, frequency refers to how often, and by how many people that specific process is performed. The higher the frequency of a specific process, the higher in priority it should go in your training manual.

For example, if Process A is performed daily by 10 people and Process B is performed weekly by 1 person, there's a 10X return on prioritizing Process A because it is actually performed 50 times over the course of a 5 day workweek (10 x 5) compared to Process B that is only performed 5 times per week.

Second, the impact of a process asks two questions: Does this process impact your revenue? If this process is not done well, would it lose us revenue? The more a process impacts your organization financially, the more of a priority it should be.

Considering frequency and impact, you can take a look at all of your operational processes and decide which SOPs are the most important for you and make the most sense for your company to prioritize.

Five SOPs to start your training manual

These five SOPs we’re about to lay out are SOPs that are common among most companies. 2. Implement a tiered collections process, starting with friendly reminders and escalating to more formal communication if necessary.
  3. Clearly communicate payment expectations upfront and providing multiple payment options for customer convenience.
  4. Regularly review financial reports to identify any overdue payments and take proactive measures to address them.

By establishing a standardized invoicing and collections process, your business can maintain a healthy cash flow and financial stability.

SOP #5: How to Attract & Retain Great Talent (Talent Acquisition / New Hire Onboarding)

People are the driving force behind any organization's success. SOP #5, talent acquisition and new hire onboarding, provides a roadmap for attracting, selecting, and onboarding top-tier talent.
