The past year has been eventful, to say the least.
Here at Trainual, our mission statement is clear: “We create software to help growing teams document, organize, and share company knowledge and training so they can operate efficiently and scale effectively.”
In other words, we’re building a platform that makes it easy for any business to document their policies and processes — whether that’s to manage their company knowledge, onboard and train employees, and/or better systemize their operations to grow and scale. We believe every business needs a playbook, and that means Trainual needs to be the best it can be to make that a reality.
That’s why we’re continuously coming up with new ways to improve Trainual — and 2023 was a massive year for us. We’ve added new features that make it easier than ever to document your business, as well as strengthened OG features that make Trainual look even better.

Leveraging advanced AI, the search function understands queries contextually, digging through all your company's content to bring up the most relevant answers instantly. This means less time searching and more time doing for your team. It streamlines workflows by minimizing the effort to locate procedures, policies, and training materials and makes information retrieval a breeze for everyone.
Import your old documentation straight into Trainual
When you have existing documentation sitting in a Google Drive or a Word doc, we can understand why you might be hesitant to start up with a platform like Trainual. Just the thought of copying and pasting all that information into a new platform would put anyone off.
We knew it was a larger pain point for our customers, which is why we took advantage of our new AI capabilities to build a feature that import documents straight to the platform. Any Google Doc or Microsoft Word file can be directly uploaded into Trainual — AI will even help you structure the document contents into manageable chunks in your Trainual account.
Trainual’s whole new look
If you haven’t been inside a Trainual account recently, you’ll probably be most surprised by all our new AI capabilities — but we’ve also taken the time to upgrade a lot of our long-established features.
We know that with progress comes change, and that everything we’ve added to Trainual in the past can always be improved upon. With each use case and all the feedback customers provide, we have to adapt our platform constantly so that it’s always getting better.
The new Home experience
Goodbye, My desk, hello Home. Trainual's new Home page has been revamped for a better user experience, with improved visibility on content progress and next steps. The new outline view offers an ultra-sleek layout, enhancing the way you manage your training and documentation.
This new design allows your team to see their to-dos upon logging in, quickly access and update owned content, review completed subjects, and gauge overall progress. Plus, the new "Favorites" section on the right makes frequently used information readily available, facilitating a more efficient and organized way to handle workplace learning and process management.
Consolidating company, policies, and processes in one Content page
We thought the left navigation was getting a little crowded, and we wanted to make it easier to organize and navigate your business knowledge inside Trainual — which is why we combined all company subjects, policies, and processes under one Content page.
The Content page also makes it easier to create and edit subjects, set the order of employee training (woo!), and much more.
The new editing experience
Since the beginning of Trainual, our text editor has basically stayed the same — and it was due for a major overhaul. Now, when you add or edit content in Trainual, you’ll notice some sleek changes to the new editing experience.
We’re talking unmatched simplicity and speed when adding text, GIFs, videos, and any other media to your Trainual subjects. If our original text editor put you off the platform before, you have to check out the new editing experience for yourself. It has to be seen to be believed.
A profile view redesign
The revamped user profile view in Trainual now offers a more streamlined and comprehensive glance at team member details. With its fresh design, you can quickly access a wealth of information about your team without the hassle of multiple clicks.
This new, full-page profile view is engineered to keep you informed about each team member effortlessly, ensuring you have all the necessary details at your fingertips in a couple of clicks. The upgrade is all about efficiency and convenience, making it simpler than ever to stay connected and in the loop with your team's dynamics.
A centralized location for people reports
Tracking employee training progress has never been easier with our new People Report page — the one centralized location to check out both team-wide and individual training reports.
You can view your entire team’s progress at a glance, or check out an in-depth individual progress report for any employee at your company — where you can track their training progress, completion by subject, topic, and test, their e-signed documents, and more!
The People Report page also allows you to filter team-wide and individual reports by completion scores, roles, status — everything you need to make it easy to track who’s done what in Trainual.
Introducing groups and group share
In Trainual, we’ve traditionally used roles as a way to assign content and organize people based on job title. And we wanted to take that idea one step further.
Trainual's new groups feature enhances how you share and manage content across your team, offering a flexible approach beyond the traditional role-based assignments. Now, you can organize your team into different groups — like departments or locations.
Plus, with group share, you can streamline how content is distributed with precise control. This includes giving view-only access, editing permissions, full management, and more — to groups and individuals, ensuring tailored access and simplifying your team's interaction with subject matter.
Continuous improvement: Can’t stop, won’t stop
As you can see, we’ve been a very busy little business this year. And that’s not even everything we’ve introduced or upgraded in Trainual in 2023! We’ve also added:
- The ability to edit or archive multiple team members at once with bulk managing.
- Full access to the Content page for general users. (Allowing them to request access to any content they’re not assigned yet.)
- E-signature functionality on the Trainual mobile apps.
We’re lucky to have such a dedicated team to develop these sorts of improvements — and it’s in service to businesses like yours.
